This policy explains what personal information RelaisIA collects, why, who it is shared with, and what your rights are. It is written to be understood without a lawyer. If anything is still unclear, write to us and we will reword it.
01Who we are
This website and our services are operated by two companies incorporated in Quebec and based in Montreal. 9575-7738 Québec inc. does business as Relais IA Immo and sells the Broker's AI Cabinet. Logiciel Swelio Inc. does business as RelaisIA for agency engagements. In this policy, "RelaisIA" and "we" refer to the company you are doing business with.
We design and install automation and artificial intelligence solutions for businesses, mainly real estate brokers and staffing agencies.

02Who is responsible for your information
Under Quebec's Act respecting the protection of personal information in the private sector, as amended by Law 25, one person within the company is designated as the person in charge of the protection of personal information.
Samy Debbah, head of both companies, holds that role.

03The information we collect
We collect only what we need. In practice:

We collect no sensitive information (health data, origin, opinions, biometrics), and we never ask for a password. If a service needs to be connected during an installation, you enter your own credentials yourself, on your own computer.
04Why we collect it
- To reply to you and schedule our meetings.
- To deliver the service you purchased and provide support for it.
- To process payments and issue receipts.
- To meet our accounting and tax obligations.
- To improve our services and our website.
We do not use your information for any other purpose without asking you first. We never sell or rent your information to anyone.
05Your consent
By sending us your information, you consent to our using it for the purposes described above. You give this consent freely, and you can withdraw it at any time by writing to us. Withdrawal is not retroactive, and it may prevent us from continuing to provide a service to you.
If we send you commercial emails, each one includes a simple way to unsubscribe, in accordance with Canada's anti-spam legislation. We process unsubscribe requests promptly, no questions asked.
06Providers that process your information
We rely on service providers to run our business. Each one has access only to what it needs:

None of these providers is allowed to use your information for its own commercial purposes.
07Transfers outside Quebec
Please note: several of the providers above host their servers outside Quebec, mainly in the United States. The information we collect about you (your request, your contact record, your payment) may therefore be processed or stored outside Quebec and be subject to the laws of that jurisdiction.
Before entrusting information to a provider, we assess the protection it offers, and we use only established services bound by contractual confidentiality and security commitments.
This is separate from the data in your engagement. When we build a solution for your business, the hosting is set up in your name, in the region you choose, and your agreement specifies where your data resides. This section covers only the information RelaisIA collects for its own operations.
08How long we keep it
- Prospect with no follow-up: up to 24 months after the last exchange, then deleted.
- Client: for the length of the relationship, then 7 years for accounting records, as tax law requires.
- Unsubscribe request: we keep only the minimum needed to stop writing to you.
After these periods, the information is destroyed or anonymized.
09How we protect it
- Access limited to the people who need it.
- Two-factor authentication on sensitive accounts.
- Keys and passwords stored in encrypted files, never in shared code.
- Website served over HTTPS.
- Security review before any tool that handles data goes live.
No system is foolproof. We do not promise zero risk. We do commit to acting quickly and notifying you if something happens.
10Your rights
Quebec law gives you specific rights over your information. You can:
- Access it and find out what we hold.
- Have it corrected if it is inaccurate or incomplete.
- Withdraw your consent and ask us to stop using it.
- Receive a copy in a structured technological format, so you can transfer it elsewhere.
- Request de-indexing of a link concerning you, in the cases provided for by law.
- Be informed if a decision about you is made entirely by automated means.

11Cookies
This website is deliberately lightweight. We use no advertising cookies and no social media trackers. The only traffic data collected is aggregated and cannot identify you.
The booking and payment pages, however, belong to Calendly and Stripe and are governed by their own policies.
12In the event of a privacy incident
If an incident presenting a risk of serious harm occurs, we will promptly notify you and the Commission d'accès à l'information du Québec, as the law requires. We also keep a register of incidents.
13Our clients' data, and their clients' data
During an installation, we may see files belonging to our clients, and sometimes information about their clients. Three rules apply without exception:
- This data stays on our client's computer. We do not copy it to our systems.
- We never use it for anything other than the requested service.
- We never show it to anyone, including in our public content and videos, without written consent, and only once it has been anonymized.
For the product installed for brokers, this comes down to something simple: the assistants run on the broker's computer, the broker's files stay there, and the subscription to the artificial intelligence model is in the broker's name, under the provider's terms. The broker chooses, in the settings of their own account, whether their conversations may be used to train the models.
Each delivered copy carries an identifier tied to the buyer's name. At the broker's request, a maintenance tool can prepare an anonymized summary of their usage. Nothing leaves their computer until they have reviewed and approved it.
Professionals bound by confidentiality or by a code of ethics, including real estate brokers, remain responsible for meeting their own obligations.
14Use of artificial intelligence
Our tools rely on artificial intelligence models. Two important points:
- No decision with legal effect on you is made automatically by a machine on our end. A human decides.
- The tools installed for a client run on the client's own subscription, in their name, and those conversations are governed by the model provider's policy.
15Changes to this policy
We may update this policy. The date at the top of the page is the one that counts. If a change significantly affects your rights, we notify active clients by email.
16Contact us or file a complaint

If you are not satisfied with our response, you can contact the Commission d'accès à l'information du Québec, which oversees the application of the law and handles complaints from the public.
